ZoeMD Privacy Policy

This Privacy Policy describes how ZoeMD, a Dorascribe Inc. subsidiary (“we,” “us,” or “our”),
collects, uses, and discloses information about individuals who use our websites
(www.zoemed.ai), mobile applications, services, tools, or features (collectively, the “Services”).
For this Privacy Policy, we act as the data controller with respect to account, billing, website
usage, and other administrative or operational information, and “you” and “your” refer to the user
of the Services. Additional restrictions and obligations regarding use of the Services and data
submission are set out in the ZoeMD Terms of Service, which form part of the contractual
framework governing use of the Services.
This Privacy Policy does not cover the ZoeMD API or Enterprise Pro offerings, which are
governed by their own terms and data processing agreements
1. Data Controller & Contact
Dorascribe Inc., registered in Ontario, Canada, with its principal office at 4145 North Service
Road, Burlington, Ontario, L7L 4X6, Canada, is the parent company of ZoeMD and serves as
the primary data controller for administrative and operational data processed in connection with
the Services.

2. Changes to This Privacy Policy
We may modify this Privacy Policy from time to time. When we do, we will update the “Updated”
date above and, if material changes occur, notify you by email or through a prominent notice on
the Services, as required by applicable law. If you do not agree with any changes, please stop
using the Services.
3. Collection and Use of Your Information
When you use or access the Services, we collect certain categories of information about you
from a variety of sources.
3.1 Information You Provide to Us
Some features of the Services may require you to directly provide information. You may choose
not to provide it, but that may limit your ability to use certain features. Information you submit
includes:
● Contact Information: Name, address, phone number, email
● Account Information: Username, password● Payment Information: Credit or debit card details and billing address (processed via a
third-party payment processor)
● Applicant Information: Resume/CV, references, job history
● Service Interaction Information: Information users choose to submit when interacting
with the Services
● Other Information: Any additional details you provide through communications or for
product customization
We use this information to provide and maintain the Services, communicate with you, secure
your account, process payments, evaluate employment applications, and improve the Services.
3.2 Provider-Facing vs Patient-Facing Features
ZoeMD offers both provider-facing and patient-facing features:
● Provider-facing features are intended for use by licensed healthcare professionals,
clinical trainees acting under appropriate supervision, or authorized institutional users.
Users of provider-facing features must ensure that all information submitted is fully de-
identified prior to submission and does not include personal health information (“PHI”) or
personally identifiable information (“PII”). ZoeMD does not de-identify content on behalf
of users and is not intended to receive identifiable patient data in provider workflows.
● Patient-facing features are provided for informational and educational purposes only and
do not provide medical advice, diagnosis, or treatment. Users of patient-facing features
are solely responsible for the information they choose to submit and should not provide
sensitive, confidential, or identifying health information through such features.
Additional obligations and restrictions relating to the use of the Services are set out in the
ZoeMD Terms of Service.
3.3 Information Collected Automatically
Third parties automatically collect usage information through cookies, pixels, tags, and similar
technologies, including:
● Device information (type, operating system, unique identifier, IP address)
● Approximate location
● Browser type, log data, timestamps, clickstream data, and interactions with marketing
communications
This information is used to tailor content, perform analytics, enhance security, and improve user
experience.
3.4 Information Collected From Other Sources
We may obtain information from:
● Analytics providers (e.g., Google Analytics)
● Job sites (LinkedIn, Monster, Indeed)● Data enrichment and marketing databases
● Business partners offering promotional access
● Linked third-party platforms (e.g., Google, Apple)
● Publicly available sources
We use this information to improve the Services, enhance security, provide support, monitor
trends, conduct internal research and development, and comply with legal obligations.
If you sync third-party email or calendar services, that information is used solely to provide the
Services and is not used to train AI models.
We may generate or use aggregated, anonymized, or de-identified data for lawful purposes.
ZoeMD does not de-identify identifiable patient data submitted in violation of the Terms of
Service.
4. Cookies and Other Tracking Technologies
Most browsers accept cookies automatically, but you can block or delete them, which may affect
functionality. To opt out of Google Analytics tracking, visit https://tools.google.com/dlpage/

5. Disclosure of Your Information
We may disclose your information to:
● Affiliates within our corporate group
● Vendors and service providers (hosting, payments, analytics, marketing)
● Business partners offering promotional access
● Other users, when you direct us to share
● Advertising partners
● Professional advisors (auditors, lawyers, accountants)
● Third parties in corporate transactions (merger, acquisition)
● Legal authorities, as required by law
We do not sell personal information.
6. Social Features
Certain Services may integrate with social platforms (e.g., Discord, X/Twitter), which may collect
or expose information in accordance with their own policies.
7. Third-Party Websites and Links
We may link to third-party websites. We are not responsible for their privacy practices.
8. Children’s PrivacyChildren under 13 are not permitted to use the Services. If we learn we have collected
information from a child under 13, we will delete it. Parents or guardians may request deletion at
help@zoemed.ai.
9. Data Security and Retention
We implement reasonable safeguards to protect your data, but we cannot guarantee absolute
security.
Content Retention by Feature Type
● Images submitted through patient-facing features are stored temporarily (up to 24
hours) and then deleted.
● Text-based inputs may be processed and retained transiently due to system or
infrastructure limitations.
Users should not submit sensitive or identifying information through patient-facing features.
10. No Collection of Identifiable Patient Health Information
ZoeMD is not intended to collect, process, or store identifiable patient health information
in connection with provider-facing workflows. Healthcare professionals remain responsible for
compliance with applicable privacy and data protection laws.
11. U.S. Residents
For California and similar laws:
● We may have collected the categories of information described above in the past 12
months.
● We do not “sell” or “share” personal information under the CCPA.
● California residents under 18 may request the removal of posted information.
12. Data Transfers
Your data may be transferred to countries outside your jurisdiction, including the United States.
We use appropriate safeguards such as standard contractual clauses.
13. Your Rights and Choices
Depending on your location, you may have rights to access, delete, correct, restrict, or object to
